Company: Ennoble Care

Department: Scheduling Department

Work Type: In person

Schedule: Full-time

Position Overview

The VSP Scheduler coordinates Annual Health Care Review appointments between Ennoble Care patients and our Virtual Supervising Physicians. These reviews are offered only to Medicare patients. During each review, the physician goes over the patient's current medications, existing health conditions, and any new concerns, so that care stays aligned with the patient's current needs.

The scheduler books 15-minute telehealth visits, by video or audio call, for patients in New Jersey, Pennsylvania, Maryland, Virginia, DC, Georgia, and Oklahoma. Oklahoma is in the Central time zone and the other states are Eastern, so accurate time-zone handling is part of the job.

Key Responsibilities
  • Schedule appointments: Book Annual Health Care Reviews with the right physician, based on the patient's availability and the state they live in.
  • Coordinate telehealth visits: Confirm whether each patient will join by video or audio, and make sure they know what to expect.
  • Contact patients: Call patients to set up visits, answer basic scheduling questions, and explain the purpose of the review in plain language.
  • Verify details: Confirm phone numbers, appointment dates, and times, including the correct time zone, before finalizing each booking.
  • Manage calendars: Keep physician calendars organized and up to date across multiple states.
  • Send reminders and follow-ups: Make confirmation and reminder calls, and follow up with patients who miss or don't confirm their appointment.
  • Handle reschedules and cancellations: Rebook visits when a patient or physician becomes unavailable, and communicate the changes quickly.
  • Keep records accurate: Enter scheduling and contact information correctly in the EMR or scheduling system.
  • Protect patient privacy: Handle all patient information in line with HIPAA and Ennoble Care's confidentiality policies.
  • Collaborate with the team: Work with physicians, clinical staff, and fellow schedulers to keep the process running smoothly and support a positive patient experience.
Required Skills and Qualifications
  • High school diploma or equivalent.
  • Strong organization and attention to detail.
  • Clear, friendly phone communication, with patience and empathy, especially with older patients or those less comfortable with technology.
  • Ability to manage a high volume of calls and appointments while prioritizing tasks.
  • Problem-solving skills for scheduling conflicts and errors.
  • Comfort with computers, electronic calendars, scheduling platforms, and phone systems.
  • Understanding of patient confidentiality and professional boundaries.
Preferred Qualifications
  • Previous experience in medical scheduling, a front desk, a call center, or patient access.
  • Familiarity with telehealth workflows and EMR systems.
  • Basic knowledge of medical terminology.
  • Bilingual skills (for example, Spanish) are a plus.
What Success Looks Like
  • Patients are scheduled for their Annual Health Care Reviews on time.
  • Few no-shows, thanks to clear confirmations and reminders.
  • Accurate records, with no time-zone or contact-information errors.
Overall Goal

The VSP Scheduler makes sure every eligible Medicare patient has the chance to meet with a physician once a year to review their health. Accurate, efficient, and caring scheduling supports continuity of care and helps patients stay on track with their health needs.
